Basic Search

The Documents page (/tools/documents.html) searches archive metadata. It does not search the extracted text inside files. Enter keywords in the search bar to find documents by:

  • File name and title
  • Document description and notes
  • Source name, project metadata, and tags

Filters

Narrow results using the filter panel on the Documents page:

  • Source category — Filter by originating organization (KU, HCA, etc.).
  • Project — Show documents associated with the selected accessible project.
  • Access level — Show only Public, Internal, or Private documents (based on your role).
  • File type — Filter by document, image, media, or archive.
  • Archive state — Raw or Published for the individual document. This is separate from its intake job's processing status.
  • Approval status — Approved or unapproved.
  • Upload date range — Filter by when the file was added to SAGEinfo.
  • Document date range — Filter by the date associated with the document. Documents without a document date do not match this filter.

Tag Filters

Tags provide a powerful way to browse and filter the archive:

  • Select tags from the tag filter panel to narrow results.
  • Multiple tags use AND matching: results must have every selected tag, so each added tag narrows the results.
  • Selected tags appear as chips above the results area.
  • Click the Reset button to clear all filters including selected tags.

Preview vs Download

  • Preview — View a safe preview without downloading. Available for PDF; PNG, JPG/JPEG, GIF, BMP, TIFF, and WEBP images; and CSV, TXT, TSV, LOG, JSON, and XML text formats.
  • Download — Download the original file. Requires proper access permissions.
  • Preview is available to all users who can view the document.
  • Download requires authentication for Internal and Private documents.

Access Denied

If you see "Access denied" for a document:

  • The document may be marked as Private or Internal.
  • Your account role may not grant access to that document.
  • Contact your manager or an admin to request access.

Sorting and Pagination

  • Results are sorted by upload date by default (newest first).
  • Click column headers to sort by name, date, size, or type.
  • Use pagination controls to navigate through large result sets.
