Access Levels
Every document in the archive has an access level that determines who can view, edit, or download it:
| Level | Description | Who Can Access |
|---|---|---|
| Public | Open to everyone | Anyone can view and download (no authentication required). |
| Internal | Restricted to authenticated users | Any user with an active account can view and download. |
| Private | Restricted to upload organization and administrators | The uploader, administrators, and authenticated members of the upload's canonical organization or an eligible shared project organization. |
User Roles
User roles determine what actions a user can perform in the system:
| Role | Capabilities |
|---|---|
| Basic User | View documents, search, browse tags. Can upload files and edit metadata on their own uploads. |
| Manager | Everything a Basic User can do, plus review and approve uploads, manage tags for any artifact they can access, and change access levels. |
| Admin | Full system access including user management, system configuration, and all document/artifact operations. Can access private artifacts from any organization. |
Changing Access Levels
Managers and admins can change the access level of a document:
- Open the Documents page.
- Find the document and click the edit action.
- Select the desired access level from the dropdown.
- Save the changes.
Changing a document from Public to Internal or Private will immediately restrict access for users who previously had access.
Requesting Access
If you need access to a document that is restricted:
- Contact your manager or the document uploader.
- Explain what document you need and why.
- Your manager can grant you access or change the document's access level.
Account Security
- Use a strong, unique password for your account.
- Do not share your login credentials.
- Log out when using shared or public computers.
- Contact an admin if you suspect your account has been compromised.
