What Are Published Outputs?
Published outputs are documents that have completed the full review and approval workflow and are ready for broad distribution. These are the final, approved products of the collaboration: reports, maps, data exports, and shared deliverables.
The Published Outputs page (/published.html) displays only documents that have reached the Published archive state.
Document Lifecycle
SAGEinfo tracks two separate stage concepts. An intake job records processing progress; a stored artifact records its archive state. Ordinary job transitions do not automatically change the artifact's archive state.
- Processing status (job) — The intake job can advance through ingest, profile, normalize, merge, and publish operations.
- Archive state (artifact) — A newly stored artifact starts as Raw. The ordinary ingest/profile/normalize/merge job operations do not synchronize this value.
- Published archive state — The explicit publish action changes the artifact to Published and Public after approval.
How Documents Get Published
- A manager or admin reviews and approves the document in the Documents page.
- An administrator, or an explicitly delegated owner of their own upload, publishes the approved document.
- Published documents appear in the Published Outputs page.
- Publishing sets the archive state to Published and makes the document Public; a published document cannot remain Internal or Private.
Browsing Published Outputs
The Published Outputs page provides filtering options:
- Search — Find by title, filename, or tags.
- Output Type — Filter by report, map, export, spreadsheet, or document.
- Source — Filter by originating organization (HCA, KU, Other).
- Visibility — Filter by access level (Public, Internal).
Viewing Details
Click View Details on any published output to see:
- Filename and title
- Source organization and category
- File type and size
- Archive state and access level
- Approval status
- Upload date
- Tags
Downloading Published Files
- Click Download to retrieve the original file.
- Downloads require authentication for Internal and Private documents.
- Public published documents can be viewed and downloaded without signing in.
Unpublishing
Administrators, or explicitly delegated owners of their own uploads, can use Unpublish when corrections are needed. After confirmation, SAGEinfo removes public visibility, returns the artifact to Raw with Internal access, and preserves the file, metadata, tags, and approval status.
